Many people starting out do not want a full office lease yet, but they do need a registered address that can be used for registration, that genuinely receives official correspondence, and that survives inspection when applying for VAT registration. What causes trouble is not the service fee but choosing an address that comes with no paperwork proving those premises may be used, or with nobody to receive letters, so deadlines are missed. This page explains which addresses can be registered, the documents required, the limits worth knowing before deciding, and how to run the paperwork so nothing slips.
Addresses that can be registered and the documents needed
A registrable address must be a specifically identifiable place the business has the right to use, evidenced by paperwork: written permission signed by whoever is registered as householder or holds ownership, a copy of the title evidence covering those premises, and a copy of the house registration for that address. Where the premises are leased, the lease must name the company or its authorised person as tenant. If the address comes from a service provider, that provider must be able to issue this same document set, not merely hand over an address to use.
Before agreeing, check whether the address is already used for a great many registrations, and whether the provider allows the company's name plate to be displayed as required. VAT registration involves an inspection of the place of business, and the officer looks for premises genuinely usable for the activity, a name plate, and someone reachable. A business using only a postal address without these is usually asked for more documents or fails the inspection.
Receiving official correspondence and the deadlines that cannot be missed
Correspondence sent to the registered address usually carries a deadline: an invitation to meet an officer, a request for further documents, an assessment notice, or a court process where the company is a party. Not receiving it, or receiving it late, does not move the deadline. So we set a firm routine: log the date received, photograph the document and send it to the authorised person the same day, and retain the original in full.
We recommend naming two responsible people so nothing stalls when one is away, and checking the mail on a fixed cycle even in months with no transactions, because the most important letter tends to arrive in the quietest month. Keep the inbound correspondence register separate from accounting records too, so open matters can be followed document by document.
Limits to understand, and when to move to real premises
A registered-address service suits businesses working from elsewhere or at client sites. It does not suit businesses holding stock, receiving customers at the premises, or employing permanent staff who need a workplace. Certain licences also impose conditions on the nature and floor area of the premises, which shared addresses commonly fail. So we check what licences the intended activity needs first, then choose the address, rather than registering and correcting afterwards.
The signals that it is time for real premises are hiring more than a couple of permanent staff, starting to hold stock, or major counterparties asking to visit before approving you as a supplier. On moving you must register the change of address with the registrar, notify the change of place of business in the VAT system, notify the social security office, and update the address on invoice and tax invoice templates. That last item is the one most often forgotten, leaving issued documents showing an address that no longer matches the register.
